The objective of this assessment is to assess your skills and knowledge to create user documentation templates, obtain feedback and update documentation.

This is a project-based assessment and will be assessing you on your knowledge and performance of the unit.

This assessment is in four parts:

1. Create draft user manual

2. Evaluate draft user manual

3. Create final user manual

4. Obtain approval.

The assessment also contains:

· Assessment Checklist

· Observation Checklist 1

· Observation Checklist 2

· Assessment feedback.

Check the Assessment and Observation checklists to ensure that you’ve covered all the required tasks.

Submission instructions

When you have completed this assessment, submit it online your assessor for marking.

Ensure you have typed your name at the bottom of each page of every document you create.

Submit the following documents for each part:

· Part 1: Create draft user manual

o Draft user manual

· Part 2: Evaluate draft user manual

o Two user evaluations

o A video recording of you interviewing two users of your user manual.

· Part 3: Create final user manual

o Final user manual

· Part 4: Obtain approval

o A video recording of you obtaining approval from your supervisor.

It is important that you keep a copy of all electronic and hardcopy assessments submitted to TAFE and complete the assessment declaration when submitting the assessment.

What do I need to do to achieve a satisfactory result?

To achieve a satisfactory result for this assessment all questions must be answered correctly and all items in the Assessment and Observation Checklists must be marked Satisfactory.

Assessment conditions

Assessment conditions for Parts 2 and 4 will replicate the workplace, including noise levels, production flow, interruptions and time variances.

What do I need to provide?

· Computer, internet and login details.

· Two users from your target audience to review your user manual and be interviewed.

· A person, such as another student, to play the role of your supervisor.

· A video recording device.

· USB drive or other storage method with enough free space to save work to.

What will the assessor provide?

· Access to the Learning Management System

· Access to Microsoft Word for creating documentation

· Scenario documents as outlined in assessment:

o User evaluation template (ROI_User_eval.docx).

· Follow the Video recording instructions (pdf) to record and submit your video.

Due date and time allowed

Indicative time to complete assessment:

· Three hours.

Supervision

This assessment is unsupervised but your assessor may ask for additional evidence to verify the authenticity of your submission and confirm that the assessment task was completed by you.

Reasonable adjustment

If you have a permanent or temporary condition that may prevent you from successfully completing the assessment event(s) in the way described, you should talk to your assessor about ‘reasonable adjustment’. This is the adjustment of the way you are assessed to take into account your condition, which must be approved BEFORE you attempt the assessment.

Assessment feedback, review or appeals

Appeals are addressed in accordance with Every Student’s Guide to Assessment.

Specific task instructions

Scenario

Red Opal Innovations wants to create user manuals to assist all employees in mastering the software it uses. The company knows that this will boost productivity as well as reduce the workload for the support department, as many employees will be able to solve their own problems.

For this assessment, you’ll use the online template you created in the previous assessment (assessment event 2), incorporate feedback you’ve received from your facilitator if necessary, then add content to explain to other staff members how to perform a specific task. You’ll then need to obtain feedback about your user manual, make appropriate changes and finalise your user manual.

Part 1: Create draft user manual

Select one of the topics from the topic list provided below, to create a draft user manual (300-500 words). It’s important that the user manual is in your own words and not copied and pasted from other sources.

Topic list

  • Adding information in headers and footers in Microsoft Word, including page numbers and document information
  • Adding images to your document in Microsoft Word, including different sources of images
  • Formatting your document in Microsoft Word e.g. text, styles, headings, colours
  • Using features of an operating system e.g. Microsoft Windows 10 Cortana, tiles
  • Using macros and templates in Microsoft Word
  • Using an item of IT equipment.

As this is a draft user manual it doesn’t need to be perfect (you’ll be able to fix identified errors in your final user manual after evaluation) however, it must meet the marking criteria in the Assessment Checklist for Part 1.

  1. Use your online user manual template that you created in the Assessment event 2 and incorporate any feedback from your facilitator if necessary.
  2. Your user manual should be clear to the target audience and easy to navigate (consider the diversity of the audience).
  3. Explain all the steps to follow to complete the task, using ICT-specific terminology where appropriate. These steps should be in logical order, so the user can work through each step to achieve the result.
  4. Include screen shots, diagrams and/or other images to further clarify the process. All images should be easy to read and appropriate for the text.
  5. Where you include any code, mark-up, formulae or scripting code use the correct syntax and format.
  6. Ensure that you proofread and spellcheck your work.
  7. Include a list of references of web sites and/or printed books that you’ve used and where more information can be obtained for the user. Note that you can’t use generic names like the internet or Google: all references must be to specific websites, books and/or articles (it’s suggested that you use Harvard or APA referencing).

Part 2: Evaluate user manual

When you’ve completed your draft user manual, you’ll need to ask at least two users from your target audience to review it for evaluation.

  • You may do this with other students, or with other people that you know.
  • After they’ve reviewed the manual, you’ll need to interview them to obtain their feedback (at least one of these interviews must be in person).
  • You will need to organise your video recording device and set up.
  • You are encouraged to rehearse the interview before completing the assessment.

When interviewing the users, make sure that you use:

  • effective listening and questioning techniques to elicit information
  • simple and relevant language to obtain feedback.

Ask at least four questions or points to obtain feedback on. Use the User evaluation template (ROI_User_eval.docx) to perform your evaluation and record the outcome.

The following are some things to consider:

  • Have you incorporated elements of usability, design and clarity into the user manual?
  • Does it meet the business requirements? (Does the user know what the business requirements are?)
  • Does it cater to diverse audiences and incorporate accessibility requirements? (Does the user know what diverse audiences are?)

Your assessor will ask you additional questions relevant to the scenario.

Part 3: Create final user manual

Analyse the feedback you’ve received from your user evaluations, make changes to your user documentation as required and update the version number accordingly.

Your final user manual must:

  • use correct spelling and grammar
  • be clear to the target audience and easy to navigate
  • contain clear and concise steps in logical order, using ICT-specific terminology where appropriate
  • include relevant, clear and legible images
  • cater to a diverse audience, incorporating accessibility requirements
  • apply styles correctly, as outlined in the organisation’s style guide
  • include an updated Table of Contents.

Part 4: Obtain approval

The final step in creating your user documentation is to obtain approval from your supervisor in a role play of 5-10 minutes.

  • Make sure that you use simple and relevant language to present your information

Role play participants:

  • Supervisor – arrange for another person, such as a colleague to act as your Supervisor.
  • ROI employee – you.

Video record your meeting with your supervisor. Ensure that you include the following in your role play:

  1. Summarise the feedback you’ve received on your user manual
  2. Outline how your user manual meets business requirements, caters for a diverse audience and is clear and easy to navigate
  3. Present your final user manual, outlining the changes you’ve made to your draft user manual and/or explain why you disregarded feedback
  4. Request approval of your final user manual.

You are encouraged to rehearse the meeting before completing the assessment.
